Working together for a positive hospital experience

Guidelines for Nursing School

Contracts

A valid contract between WCH and each affiliating nursing program is required for all undergraduate and graduate nursing student placement. The School of Nursing is responsible for contacting WCH to begin the affiliation agreement and contract process. Executive Nursing Leadership approves all affiliation agreements.

If seeking an affiliation agreement, please send a request to nursingprofessionaldevelopment@woodcountyhospital.org .

Please include the type of program, accreditations held and the reason for the request. A member of the Nursing Professional Development team will respond within one week to begin the process.

Clinical Group Placement Process

Clinical site placements are determined by working directly with the WCH liaison. Please send inquiries to:

Julie Shank MSN, RN
shankj@woodcountyhospital.org
419-728-0672 (office)

Student uniforms: Students should wear their school uniforms and school ID badges for all clinicals. The only exception is when a department requires students to change into specific scrubs for that area, such as Surgery or OB.

Preceptor Placement Process

1. Submit the Preceptor Request

All pre-license preceptor requests for each semester must be submitted at least four weeks before the semester begins. Students must work through their school to secure a preceptor assignment at WCH.

Complete the Preceptor Request Form →

2. WCH Provides Available Assignments

WCH will provide preceptor assignments two weeks before the earliest precepting start date. The information will include the department and shift.

3. The School Assigns the Student

The school will assign the appropriate student and provide the student’s name to WCH, along with the required health attestation.

Complete the Health Attestation Form →

4. WCH Confirms the Preceptor

Once WCH verifies that the appropriate health attestation has been provided, the preceptor’s name and contact information will be given to the school.

If there are concerns with an assignment, the student should work through the school for resolution.

Student uniforms: Students should wear their school uniforms and school ID badges during clinical time with their preceptors. The only exception is when a department requires staff to change into specific scrubs for that area, such as Surgery.

Instructor/Faculty Hiring and Orientation

As soon as a new instructor is hired, please notify Julie Shank MSN, RN at shankj@woodcountyhospital.org .

Schools are required to submit new clinical instructor/faculty health records to student.nurse@woodcountyhospital.org .

New Instructor General Orientation, including orientation for WCH employees serving as instructors, must be completed before the instructor’s start date. It is required for all new instructors and instructors who have had an interruption in assignments greater than one year.

View New Nursing Faculty Requirements → Complete the Instructor Intake Form →

After the Instructor Intake Form Is Complete

  • Attend a live orientation class and complete and submit the forms identified on the New Nursing Faculty page
  • Secure a WCH Instructor ID Badge
  • Schedule unit-based shadowing/orientation for a minimum of four hours

Important Information for WCH Employees

WCH employees working as clinical instructors must complete the applicable instructor orientation requirements. When functioning in an instructor capacity, employees should never wear or use their WCH employee badge or employee ID number. They must use their instructor badge and instructor ID only. A separate computer login will also be provided for instructor use.

Annual Requirements for Returning Instructors

Returning instructors/faculty must complete the following requirements annually to maintain a current instructor status.

View Returning Nursing Faculty Requirements →

Please note: Nursing instructors who visit precepting students at WCH are considered visitors and do not need to complete WCH instructor orientation.

Student/Faculty Health Requirements and Demographic Data

The school is responsible for determining whether each instructor and student meets the prerequisite health requirements. Schools may use the Health Attestation Form to submit instructor and student records.

Complete the Health Attestation Form →

Submission deadline: Health requirements must be submitted at least two weeks before the clinical rotation begins. If student names or health requirements have not been submitted within that timeframe, the clinical placement will no longer be granted to the requesting school.

Student Orientation

All students must complete WCH orientation before coming to WCH.

See the Nursing Students page for specific requirements. Orientation documents may be submitted to student.nurse@woodcountyhospital.org .

Glucose Meter Requirements for Students

  • Before using a glucometer at WCH, the student must receive education from their instructor, perform a return demonstration and pass a written test provided by WCH. The written test must be graded by the nursing instructor from the school.
  • A glucometer training competency log must be submitted with all clinical orientation forms to student.nurse@woodcountyhospital.org .

No student will receive a WCH ID Badge. Only instructors receive WCH ID badges. Students must wear their school uniform and school ID badge at all times unless they are in an area where scrubs are provided.
